Student finance and the student travel product
General
When determining your entitlement to student finance (including the student travel product and the administrative grant), DUO distinguishes between different categories of personal data. These categories are also used to facilitate record-keeping and payments. The decision on whether or not to award student finance is based on automated processing.
If you live on your own, DUO will check your registration details with the municipality. We can also check your living situation through home visits, which are carried out on a random basis. DUO does not use individual profiles for this purpose. Decisions in this context are not based on automated decision-making and always involve an employee.
Types of personal data
DUO uses different categories of personal data to provide, manage and monitor student finance:
- personal details, such as name, sex, marital status, date and place of birth
- contact details, such as address, place of residence, telephone number and email address
- data regarding your personal relationships, such as the names and addresses of your parents, partner(s), children and legal representatives
- data about your living situation, such as the surface area of your home and whether you live with your parents or on your own
- education-related data, such as the name of your educational institution and diploma data
- financial data, such as your grant amounts, income level and bank account number
- identification numbers, such as citizen service number (BSN) and student identification number
- identity document data, for instance from your passport or identity card
- data relating to your interactions with DUO, such as email exchanges
- Mijn DUO account details
- transport-related data, such as information about your use of public transport.
Special categories of personal data
In some cases, DUO may also process personal data that falls under a special category. Some of the personal data we process is highly sensitive in terms of privacy. DUO only processes such special personal data in order to perform specific tasks, and when there is a specific legal basis for doing so. This includes:
- data about your health, such as medical records or a doctor’s certificate
- data on your ethnic origin (based on your nationality, country of birth and/or country of origin).
Sending data to countries outside Europe
Your personal data may be transferred to countries outside the European Economic Area in certain cases, for example if you apply for student finance as a resident of the Caribbean Netherlands.
Enrolling in a degree programme
When you enrol in a degree programme, DUO keeps your records in the register of education participants. The data stored in this register is used by DUO to administer student finance. It is also used by the Ministry of Education, Culture and Science to fund educational institutions, by educational institutions to implement admission and enrolment procedures, and by other administrative bodies to perform their statutory duties.

Diplomas and converting foreign titles
If you have obtained a diploma from a Dutch educational institution, DUO will include these details in the register of education participants and under Mijn diploma’s. DUO will also process your personal data if you obtained a diploma from a foreign educational institution and applied to have this converted into a Dutch title.

- personal details, such as name, sex, and date and place of birth
- contact details, such as address, place of residence, telephone number and email address
- education-related data, such as the names of your degree programme and educational institution and diploma data

- identity document data, for instance from your passport or identity card.
